Kuliberda Labs · How we work
Every step ends with something in your hands.
We go through four steps together, from the first conversation to acceptance, and you know the price of each one before it begins. Dawid Kuliberda, our implementation architect, leads the whole process. We build systems. Not presentations.

Diagnosis
30 min, free of chargeYou talk to Dawid about the task that takes up most of your company's time. After 30 minutes you know whether a deployment makes sense; sometimes the best advice is not to build at all.

What we do in the Map
After the Map you have it in writing: what we build, what it costs and how we'll both know it works.
The Map is led by Dawid Kuliberda, implementation architect.
Process map
Dawid goes through with you how this work gets done today: where the task comes from, who does it, what data they use and where it gets stuck. We time it on 5 to 10 real cases.
Scope and risks
We write down what the deployment covers, what stays outside it and which of your company's software it connects to. We name the risks on your side and on ours before we start building.
Acceptance criteria
We agree what we'll check together at acceptance. For actions that can't be undone, we write down who approves them.
Deployment price
At the end you get a fixed price for the deployment and a schedule by email.
Sometimes the Map ends with a recommendation not to build yet, and to spend a week measuring how long the work takes today. The Map fee is credited to the deployment if you start it within 30 days.
Where your data goes
The sources the assistant works with are listed in the deployment scope. The content of each task goes to the provider of the AI model whose subscription the assistant runs on. You take out that subscription in your company's name and pay the provider directly, unless the contract says otherwise, so the bill for the models comes straight to you. If we process personal data on your behalf, we sign a data processing agreement (Article 28 GDPR) before we get access to that data.

Payments and acceptance
You pay for the Map and for deployments up to PLN 20,000 in two parts: 50% before the start and 50% at acceptance. Systems for several roles or for a whole team are billed in three instalments: 40%, 40% and 20%.
The time allowed for acceptance is set in the contract. You send your comments in no more than three consolidated lists of issues, all within the agreed scope.
A feature, rule or integration that wasn't in the scope is quoted separately as a change to the scope.
The warranty runs for 30 days from acceptance. During that time we fix defects in the accepted scope at our own cost.
We're a fit if
- you run the company or have the final say over the work you want to take off your team's plate
- you can point to one task that eats up hours; we'll help you name it precisely in the diagnosis
- a deployment from PLN 4,500 net fits your company's plans
We build our offer for companies of 20 to 200 people. A smaller company with a clearly named task will hear back from us too.
What we don't do
- Billing a build by the hour after the fact. Work beyond the Care allowance is priced and agreed before it starts.
- Building around an unclear process. In that case we start with the Map.
- Reselling AI subscriptions. The subscription is yours, and you pay the provider for it, unless the contract says otherwise.
- Deployments where a feature in software your company already has would do the job. We'll tell you so in the diagnosis.
We send the price by email after the conversation and our analysis. It stays fixed for the agreed scope.
Questions before our first conversation.
Book a diagnosisWhat do I get from the free diagnosis?
Thirty minutes of conversation, free of charge. Afterwards you know whether AI makes sense in your company, which problem to tackle first and what the next step is. A simple scope gets a quote by email without a Map.
When do I need the Map?
When integrations, risk or an unclear process mean we can't price the deployment reliably. Dawid works through the process with you, and you receive the scope, the risks, the acceptance criteria and a price. The Map costs PLN 2,500 net and is credited to the deployment if we start within 30 days.
How long does a deployment take?
The Map usually takes 7 to 14 days, and the more precise it is, the faster the whole deployment moves. A working assistant is usually ready 7 to 14 days after the start. During the 30-day warranty that follows acceptance, we tune it to the way its user works, within the accepted scope. A working automation is usually ready 2 to 3 weeks after the start. In an AI System the first roles usually take 2 weeks or more, depending on how many roles and integrations there are, and after acceptance there are again 30 days of warranty and tuning on real work. We set the exact schedule after the diagnosis or the Map.
What about company data and GDPR?
The sources the assistant works with are listed in the deployment scope. If we process personal data on your behalf, we sign a data processing agreement (Article 28 GDPR) before we get access to that data. The content of each task goes to the provider of the AI model whose subscription the assistant runs on. The details are in §11 of our Terms of Service.
What if Dawid becomes unavailable?
The accounts and API keys belong to you. Copyright in what we built for your company, and in its documentation, passes to you once you have paid the full fee. Kuliberda Labs' own tools stay with us, and you use them under a licence. You receive the documentation and instructions at acceptance. Under Care, wherever monitoring is in place, we check the deployment every day at 9:00.
What if something stops working after acceptance?
For 30 days after acceptance we fix defects in the accepted scope at our own cost, under the warranty. You can also take Care for PLN 500 net a month: every day at 9:00 we check how the deployment is running and fix faults within the accepted scope. Priority Care, at PLN 1,000 net a month, gets a response within 4 business hours. AI System Care is priced to its scope. New features are quoted separately.
Can I cancel Care?
Yes. Care runs month to month with no annual commitment and continues until you give notice, so there is nothing to confirm each month. Notice takes effect at the end of the current period.
Who does the work?
Dawid Kuliberda leads every project. KL agents, a system of AI agents that Dawid designs and oversees, do the building and the maintenance.
Who pays for the AI models and accounts?
You do, directly to the providers of AI models, API access, hosting and accounts, unless the contract says otherwise. You take out the AI subscription in your company's name, so the bill for the models comes straight to you.
