An AI System is for a company where several people hand the same cases and data to one another. Each department runs its own software, and what links them is a person copying data across by hand.
Data retyped by hand.
Someone copies the details from an email into a spreadsheet, then into the CRM, then into a report. Every case goes through that chain again.
Each department has its own version of events.
The office, sales and the owner work in separate tools. When a customer changes an order, one department hears about it and the other carries on with old data.
A connection fails silently.
An update to one program or an expired login is enough to stop cases moving on. Often it only comes to light a few days later, when a customer chases it up.

Several roles or processes on the company's shared data, cases handed between them, and acceptance against a checklist we write into the contract. After the diagnosis or the Map we email you a fixed price for your scope.
- The first roles usually take 2 weeks or more, depending on how many roles and integrations there are.
- After acceptance you get 30 days of warranty, during which we tune the system on real work within the accepted scope.
- Usually 40% upfront, 40% after a stage set in the contract and 20% on acceptance.
- AI System Care: quoted individually and set out in the contract.
- You pay for AI models, APIs and hosting separately unless the contract says otherwise.
- We fix the price in writing before we start and don't bill for hours after the fact.
What stays with you
The working roles and processes in the accepted scope, documentation and instructions as set out in the contract, and 30 days of warranty. The accounts and logins for the services belong to you.
What raises the price
A system with several roles and shared data costs from PLN 20,000 net. The price goes up with:
- more people and departments using the system
- new data sources and channels, such as a messaging app alongside email
- connecting another program, such as a booking system or accounting software
- separate permissions for each person and department
- the system sending messages or saving changes in another program on its own, beyond what the contract names
- results dashboards and system availability written into the contract
The Map before deployment
With several roles and integrations we start with the Map, at PLN 2,500 net. It usually takes 7 to 14 days, and the more precise it is, the faster the whole deployment goes. Its price is credited to the deployment if you decide to build within 30 days.
Questions about an AI System
How is an AI Assistant different from AI Automation and an AI System?
An AI Assistant covers one role, say an assistant to the owner with access to email, calendar and documents, plus one or two agreed tasks. AI Automation runs a single process from the event that starts it to the finished result, for example from an enquiry to a ready quote, and it handles the exceptions along the way. When several people or departments need to work with AI on the same company data, we build an AI System made of several assistants and processes.
What does an AI assistant for a business cost?
An AI Assistant starts from PLN 4,500 net and covers one role plus one or two simple, named tasks. AI Automation starts from PLN 7,500 net and an AI System from PLN 20,000 net. After the diagnosis or the Map we email you a fixed price for your scope. If the scope is still unclear, we begin with the Map at PLN 2,500 net, and that amount is credited to a build that starts within 30 days.
How long does a deployment take?
The Map usually takes 7 to 14 days, and the more precise it is, the faster the whole deployment moves. A working assistant is usually ready 7 to 14 days after the start. During the 30-day warranty that follows acceptance, we tune it to the way its user works, within the accepted scope. A working automation is usually ready 2 to 3 weeks after the start. In an AI System the first roles usually take 2 weeks or more, depending on how many roles and integrations there are, and after acceptance there are again 30 days of warranty and tuning on real work. We set the exact schedule after the diagnosis or the Map.
Do I have to change the software we use?
We start from the software you already have: email, spreadsheets, a CRM, invoicing software or your own system. Whether a particular program can be connected is something we check in the diagnosis or the Map, and every connection goes into the scope.
What if something stops working after acceptance?
For 30 days after acceptance we fix defects in the accepted scope at our own cost, under the warranty. You can also take Care for PLN 500 net a month: every day at 9:00 we check how the deployment is running and fix faults within the accepted scope. Priority Care, at PLN 1,000 net a month, gets a response within 4 business hours. AI System Care is priced to its scope. New features are quoted separately.
